This position reports to the Vice President, MGM-Digital Media & Activation and will be based in Glendale, California, but will also be responsible for supporting a team based in Anaheim. The ideal candidate will have a positive attitude with the ability to be proactive, resourceful and flexible in a fast-paced environment.
 

Responsibilities

You would be responsible for the day-to-day workings of the leader(s) you support and your support is critical to ensuring your leader’s success. It goes without saying there will be endless calendar jockeying and coordination with other executive assistants, expense and labor reports, travel planning, preparing presentations for team meetings, and coordinating team-building events. Attention to detail, being proactive, having a can-do attitude, being a good problem solver, and being described as a real go-getter make you an ideal candidate for this role. The relationship you form with the executives you support is absolutely critical because that’s what enables you to become a true partner. As the “face” of your executive(s) within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a critical component to its success. Every day as an Executive Assistant is different! On any given day you might: 
 

  • Prepare leader for meetings by familiarizing yourself with the relevant topic and project, and help track action items. Immerse yourself into the team and work so that you can inform your executives when you see something he/she should know.

  • Interface directly with other executives and their support teams – your ability to work well with people on all levels is a very important part of your job.

  • Work hand-in-hand and form strong partnerships with other assistants.

  • Review your leader’s schedule to build-in time to think, to prepare, to travel to their next meeting.

  • Book travel, create a multi-city travel itinerary, taking into account time zones, weather delays, traffic and fatigue levels.

  • Arrange conference calls/web-based meetings.

  • Manage calendars and contacts (including scheduling meetings and calls across time zones requiring significant coordination and follow up).

  • Understand the day’s priorities so you can be strategic about how to support the leader and handle urgent matters or email requests.

  • Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles.

  • Develop, organize, and lead team-building activities for the Glendale and Anaheim-based teams.

  • Support some of the larger team initiatives and activities happening on both coasts

  • Handle extremely confidential, sensitive information, remembering that Disney is a publicly-traded company.

  • Maintain organization systems, daily mail sorting, ordering supplies, photocopying, scanning, and mailing documents.

  • Start VTC or conference call meetings. If hosting or joining a group meeting, having the technology ready in advance to jump right into the meeting.

  • Provide general office and kitchen supplies management support to the team.

  • Assist with on-boarding new employees – you’ll be the “friendly face” that newbies count on to answer all their questions.

  • Coordinate and support the planning of on-site and off-site events and meetings, managing special projects and events as needed.

Basic Qualifications

Here’s what you will need to be successful in this job:
 

  • At least 3 years experience in an administrative role and/or equivalent experience.

  • Sharp written and verbal communication skills, including strong grammar and a rich vocabulary.

  • Experience with team-building activities / event coordination.

  • Desire to immerse yourself fully and learn all aspects of your executive’s business.

  • Proficient in time management with the ability to multi-task and prioritize deadlines/deliverables.

  • Strong proficiency with all types of computers, phones and office equipment, as well as, Microsoft Office programs, Coupa, and Concur.

  • A calm head and steady hand to deal with the unexpected.

  • “EQ” skills to build bridges, forge alliances and encourage people to want to work with you.

  • Confidence to learn new programs when necessary; keep up with the ever changing technology.

  • Complete reliability handling confidential, often highly sensitive information.

  • Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked, to build solid inter and intra-team relationships.

  • Possess the willingness and ability to identify opportunities and resolve problems independently and demonstrate good judgment in the handling of issues with a sense of urgency.

  • Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed.

  • Very strong organizational skills and attention to detail.

  • A highly professional demeanor, positive outlook and a can-do attitude. 

Preferred Qualifications

  • At least 5 years supporting director-level executives.

  • Experience at The Walt Disney Company.

  • Experience working in Disney Experiences.

  • Experience working in a large public corporation.

Required Education

  • Education is important to us, here’s what we are looking for: High School Diploma

Preferred Education

  • Bachelor’s degree or equivalent experience

The hiring range for this position in Glendale, CA is $64,300.00-$86,200.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
