About the Role & Team

The HR Coordinator reports to the Vice President, HR and globally supports the planning and execution of administrative, logistics and planning for the global Industrial Light & Magic (ILM) HR office through collaboration with a variety of stakeholders globally including Sr. Executives, HR Leaders, HR Functional Partners, and global Operational leaders for our studios around the world. They serve as the main point of contact for the global HR office for administrative and planning matters as the ambassador for the HR function.

What You Will Do

  • Serves as first point of contact for the ILM HR Executive office for global ILM, directing inquiries to the appropriate HR leaders around the globe for response, ensuring appropriate tracking, follow-up, and closure of open issues and inquiries. Partners closely with the office of the GM,ILM and studio leaders around the globe.

  • Helps to lead collection of content for the global ILM HR newsletter, organizes project tracking and status updates for Sr. ILM leadership and updates HR dashboards to ensure integration across ILM global studios, Production, Talent Management, and HR functional partners across Disney, Lucasfilm and ILM.

  • Partners with the Vice President, HR, regularly maintaining an on-going calendar of regularly updated meetings, events, team buildings, HR development, and culture building experiences across the HR Business Partner community globally. Actively involved in the organization of initiatives and HR events as required.

  • Manages the calendar, meeting management, room booking, planning, scheduling, and travel and expense management for the Vice President, HR and global HR calendar, events and activations from a project management perspective. Identifies scheduling conflicts and organizes complex global travel planning and detailed logistics for HR related activities in both our San Francisco and LA offices.

  • Partners with the Lucasfilm/ILM HR Operations team helping to organize and maintain global ILM HR policy, process, and project documentation

  • Maintenance and audit of global ILM HR share and project files to ensure accurate documentation for global day-to-day operations across all our global studios.

  • Partners with People Insights and HR Operations to provide support for the regular data management for key monthly and quarterly reports specific for global ILM (i.e. including but not limited to: weekly production headcount, monthly turnover, quarterly employee surveys and workforce reporting and audits).

  • Supports ad hoc HR projects, including research, and provides general administrative support to the HR team including typing notes, developing forms, documents, and other HR related documentation (i.e. updating intranet sites, etc.)

Required Qualifications & Skills

  • Bachelor’s degree in a related field or equivalent work experience.

  • 1+ years of HR, recruitment, or general office administration experience.

  • 1+ years of experience supporting senior executives and business leaders.

  • Ability to handle confidential and sensitive information and topics.

  • Ability to work independently and work through conflicting priorities.

  • Organized and can work with shifting priorities and deadlines.

  • Excellent communication skills (verbal and written).

  • Excellent analytical skills and strong attention to details.

  • Ability to build relationships with employees at all levels.

  • Ability to gain trust and work effectively across multiple stakeholders.

  • Proactive, self-starter who delivers results in a fast-paced environment.


The hiring range for this position in San Francisco, CA is $59,200.00-$72,200.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
